There are a number of common error messages that coordinators encounter when uploading student accounts. Please refer to the below guide to rectify these before contacting the PRC team:



 Internal server error error message: 


This error message is often encountered when your file name is too long.


Solution: Rename your document to a shorter name (20 characters or under) and save your spreadsheet as a CSV instead of an XLS and upload your new spreadsheet. 



Maximum number of Students to be uploaded is 250 records in a single upload. If you want to upload more, please split the file. 


Coordinators see this when uploading less than 250 students due to blank formatting in other cells that the system picks up as data points. 


Solution: To clear blank formatting impacting your upload, follow the below steps: 


1. Open the excel spreadsheet you are trying to upload 

2. Click on HOME -> FIND & SELECT -> GO TO SPECIAL 



3. Select BLANKS and click OK 



4. This will show the blank rows in the spreadsheet that are being counted as valid row data. Delete all the rows that have blank data (hold down SHIFT then click the first and last row, then right click to delete).



5. Save the changes to your spreadsheet and upload it.

The student upload process can only manage groups of up to 150 students at a time.  If you are trying to upload more than 150 students the website will display the above error message.


Solution: Please attempt the upload process again with groups of 150 or less students each time.


Other error messages: 

If you continue to see errors, check that the spreadsheet you are trying to upload has the columns of student information in the following order:


The Grade must be one of K, 1, 2, 3, 4, 5, 6, 7, 8, 9, or 10

The Gender must be M or F

The Date of Birth needs to be in the format dd/mm/yyyy

The Other/middle name is optional


Ensure the correct file type (CSV or XLS) is selected

Header Row must be ticked if you have not removed the headers from the template

Ensure the File name is short. File names over 20 characters have been known to trigger a security or server error.
