As a PRC Coordinator you will need to manage the student accounts of the students at your school.
You will manage:
- Creating accounts for NEW students (nongov schools only)
- Recording accounts of EXISTING students
Please complete the following 3 Steps and please clarify what further assistance you need in managing the students' accounts.
Step 1. Any NEW students please do a Multiple Student Upload so that you create new accounts for them. You will then have their username and password details automatically sent to you from the system.
Multiple Student Upload can be used to create nongov student accounts on the PRC website for up to 100 students at a time. Once complete, an email containing the student account details will be sent to all PRC coordinators registered at the school. As students will use these same account details to log in to future Challenges, student account details should be stored for future reference and retrieval. Students accounts are only able to be created when the Challenge is open.
In the PRC website go to:
Students > Student Upload
Click on the Multiple Student Upload tab
1. Create and save a spreadsheet containing the student details to your computer
- Use this template to create a spreadsheet in Excel (xlsx) or Comma Separated Variable (csv) format.
- The student details must be in columns in the order specified in the template.
(First Name, Last Name, Grade, Gender, Date of Birth, Other Name) - Enter the Date of Birth using the format dd/mm/yyyy eg 31/08/2006.
- The names you provide will appear on certificates. Please use proper case (not all capital letters).
- If you use a Mac computer you will need to convert excel files into csv format (use 'Save As' and select type of csv).
- Include no more than 100 students in each spreadsheet. If you have more than 100 new students you will need to complete the Multiple Student Upload process more than once.
2. Upload the spreadsheet to the PRC website
- Use the 'Browse' or 'Choose File' button to upload the spreadsheet.
- Check your School is listed correctly.
- Select the File Format you are using (CSV or XLS).
- If you have a header row in your spreadsheet, tick the Header Row box.
3. Review Upload
- If there are any rows that have an error message in the Error column, take note of the details and click the Cancel button. Correct the data in the spreadsheet and then upload the corrected spreadsheet as described in Step 2.
- You may need to correct dates or missing Name, Gender or Grade information.
4. Identify Matches
- If there are any student names in the spreadsheet that are similar to the names of students who already have PRC accounts at your school, you will be shown the Identify Matches screen.
- The Identify Matches screen asks you to confirm that there are not duplicate accounts being created.
- You will need to tick in the
- 'New' box if the student it indeed a new student
- 'Existing' box if the student is the same one as the one matched
5. Finish Upload
- Once done, click the Finish button to end the Multiple Student Upload process. If successfully uploaded, a bold, green message will appear advising that an email will be emailed.
Student account username and password details will be emailed to all PRC coordinators at your school. If necessary, widen the columns in the spreadsheet to view the full username and password information.
Once the Challenge has opened, distribute the student account details to students to allow them to log in to the PRC website and log their books read.
As students will use these same account details to log in to future Challenges, student account details should be stored for future reference and retrieval.

Step 2. EXISTING student accounts
It is not possible to find a list of all your students' accounts on the website and retrieve existing passwords for student accounts. If required, the PRC team are able to send you the list of student accounts at your school and also perform bulk resets of student passwords by grade.
If you need a bulk password reset for students at your school, email the PRC team and include the grades that need to have all student passwords reset. Any students who do remember their existing password will need to be notified of their new password.
We recommend PRC coordinators keep a record of all student passwords at the school, so these can be provided to students at the beginning of each year (passwords for students with existing accounts don’t change each year). The record can then be updated if passwords are reset and when accounts are created for new students.
If you are only managing a small number of students, you are able to modify a student's name/username and reset their password on a student by student basis.
So again, with Step 2, please confirm the Grades you would like us to do a bulk reset of passwords and we'll be able to do this and send the information to you in an excel spreadsheet.

Step 3. MERGING NEW student accounts with OLD student accounts from previous schools
When students attend a new school, their PRC accounts are managed differently by the website depending on whether the schools are public or non-government. The table below sets out how student accounts are managed:
If the student accounts need to be merged, please CREATE a student account first and then contact the PRC team and provide the student's details in an EXCEL spreadsheet:
- name
- date of birth
- current school
- any previous schools attended.
In some cases students may attend a new school but a new account is not created for them in the PRC website. This might be because the:
- new school does not participate in the Challenge
- new school is not in NSW
- student is in Year 10
In such cases students’ PRC accounts at the old school will remain visible to coordinators in the PRC website. Please ignore these accounts.
Once a student's account has been merged, their past Student Reading Records will be visible in their Student Reading Record page on the PRC website.
